Oracle Fusion Cloud HCM Absence Management enables organizations to manage employee absences effectively by defining various absence plans and types. This checklist provides step-by-step instructions to implement Oracle Fusion Cloud HCM Absence Management.

1. Absence Management Implementation Overview

Before implementing Absence Management, review the setup tasks available in the Absence Management functional area. The setup sequence involves configuring lookups, value sets, flexfields, absence plans, absence types, and categories.

Setup Sequence:

  1. Lookups, Value Sets, and Flexfields: Add new values to lookups, value sets, and flexfields. Use Fast Formulas to define rules for absence components. Create rate definitions to establish payment rates for absence plans.
  2. Absence Plans: Define rules for time accruals and entitlements. Set up certification requests for workers to continue receiving entitlements. Establish absence reasons for workers to select when recording absences.
  3. Absence Types and Categories: Create various absence types (e.g., sick leave, vacation) and associate them with relevant plans, reasons, and certifications. Define absence categories (e.g., personal leave, medical leave) and associate them with relevant absence types for reporting purposes.

2. Responsive User Experience Setup

Configure the responsive user interface using deep links for easy navigation to specific HCM Cloud application pages. Use deep links in custom applications or documents to provide quick access to HR information.

3. Absence Lookups, Value Sets, and Flexfields

Lookups, value sets, and flexfields play a crucial role in Absence Management by providing validation and lists of values for user input fields.

  • Lookups: Define a list of values as lookup types comprising a set of lookup codes and their translated meanings.
  • Value Sets: Specific to your enterprise, value sets validate the values entered by users based on predefined rules.
  • Flexfields: Placeholder fields associated with business objects to contain additional data.

4. Formula Creation and Error Handling for Absence Management

Oracle Fast Formula allows the creation of custom formulas using English words and basic mathematical functions to handle various absence management scenarios.

  • Formulas for Absence Types: Define custom rules for validating and converting absence durations.
  • Formulas for Accrual Plans: Create formulas to manage enrollment start and end dates, accrual events, vesting periods, proration, ceilings, carryovers, and payment rates.

5. Eligibility Profiles for Absence Plans

Eligibility profiles determine whether a person qualifies for enrollment in an absence plan. These profiles can restrict eligibility based on various criteria, such as gender, length of service, or job position.

  • Create Eligibility Profiles: Use the Eligibility Profiles task to define criteria.
  • Associate Eligibility Profiles: Link eligibility profiles to absence plans to restrict who can schedule absences.

6. Rate Definitions for Absence Payments

Define rate definitions to calculate payments for absences. Configure options for rate definitions and create specific rate definitions for various leave types.

7. Elements for Absence Management

Define payroll elements to process absences and calculate payments. Configure elements for absence accrual plans and other absence-related payments.

8. Effective Dates in Absence Management

Manage date effectivity for absence management objects. Correct or update date-effective objects to reflect accurate absence records.

9. Accrual Absence Plans

Create accrual absence plans to define how employees accrue leave time and receive payments during absences. Configure various options for accrual terms, enrollment, termination, and balance adjustments.

10. Qualification Absence Plans

Set up qualification absence plans for specific leave types, such as maternity or parental leave. Define rules for qualification terms, overlap, enrollment, and termination.

11. Compensatory Time

Define compensatory time plans and rules for earned compensatory time expiration.

12. Donation Plans

Configure donation plans for PTO donations. Define rules for donation plans and set up approvals for donations.

13. Absence Types, Reasons, and Categories

Create and configure various absence types, reasons, and categories. Define rules for absence display, processing, approval, and duration.

14. Absence Certifications

Set up certification requirements for absences that require documentation. Define triggers and actions for certification events.

15. Absence Processes

Configure processes to evaluate absences, update accrual plan enrollments, calculate accruals and balances, and manage absence data.

16. Integrated Workbooks for Loading Absence Data

Use integrated workbooks to load absence data. Set up desktop integration for Excel to update absence data using HCM Spreadsheet Data Loader.

17. HCM Extracts for Absence Data

Define extracts to reconcile absences and payroll information. Create extracts for past and future absences, as well as open-ended absences.
